Finance & Operations Administrator

About The Outreach Team

The Outreach Team is the national engine of campaigners and organizers powering the progressive movement. With an on-the-ground presence in communities all across the country, our world-class team runs successful civic engagement campaigns on behalf of progressive organizations. These campaigns work to build a future that is fairer, cleaner, safer, and more peaceful for everyone.

About the Position

The Finance & Operations Team plays a critical role in ensuring the smooth financial, compliance, and operations processes that enable our field teams to focus on winning campaigns. We do this by managing the full cycle of financial processes and providing support to the project teams to ensure they have what they need to operate and keep everything in compliance.

In the Finance & Operations Administrator role, you'll assist the finance and operations department as they support our campaigns. You’ll assist the finance team with the month-close process, work closely with the compliance team to help manage the review and execution of new office leases, and dive into occasional HR compliance research. You'll support our internal departments by troubleshooting issues, creating tracking tools, and ensuring our processes actually work for the people using them.

This is a remote role and we can hire from candidates living in these states:: Arkansas, Florida, Georgia, Indiana, Iowa, Maine, Maryland, Michigan, New Jersey, New York, North Carolina, Oklahoma, South Carolina, Tennessee, Virginia, Washington, Wisconsin, and Wyoming.

Responsibilities include:

  • Assist the finance team with tasks in the month-close process and update tracking
  • Develop new processes and tracking tools for both finance and operations to keep things organized as the organization grows
  • Identify potential roadblocks in our daily operations and propose practical solutions to leadership before they escalate.
  • Conduct employment law and HR compliance research as needed
  • Supporting the compliance team in the office lease review process
  • Provide general, day-to-day administrative support across both departments to ensure project teams have what they need to launch and operate

The Finance & Operations Administrator reports to the Business Operations Director.

Qualifications:

Must have:

  • Excellent attention to detail. You catch errors before they become problems and ensure all financial records are accurate and complete.
  • Proactive problem solver. You spot potential roadblocks before they happen and come to the table with proposed solutions, rather than waiting for your manager to find and fix the issue.
  • Strong organizational skills. You can manage multiple deadlines, track outstanding items, and follow up consistently.
  • Process-oriented. You can look at a messy system and build a tracking spreadsheet or process to fix it.
  • Strong organizational skills. You can manage multiple deadlines, track outstanding items, and follow up consistently with staff and vendors.
  • Highly reliable and trustworthy. You handle sensitive financial and legal information with discretion and maintain confidentiality.
  • Effective communicator. You can write clear, professional emails to staff, leadership, and vendors, and know when to escalate issues appropriately.
  • Tech savvy. You can learn new financial software systems quickly and troubleshoot basic technical issues.
  • Customer service oriented. You respond helpfully and professionally to questions from staff about financial processes and can clearly explain procedures.
  • Effective remote worker. You can manage your workload independently and meet deadlines without in-person supervision.
  • Willingness to work flexible hours when necessary. Some flexibility during campaign cycles and month-end close periods is required.

Nice to have:

  • Proficiency in QuickBooks Online or similar accounting software. You understand how to manage accounts payable, accounts receivable, bank reconciliations, and project tracking.
  • 1-2 years of experience in bookkeeping, accounting, or finance administration
  • Experience with Zoho Expense or similar expense management platforms
